Job Summary
As a Donor Centre Administrator at NHS Blood and Transplant (NHSBT), you will help make sure patients get the blood components they need by keeping our donor appointments flowing. You will be the first point of contact for donors and visitors, giving a warm welcome, answering questions by phone and email, and keeping accurate records that protect donor safety and patient outcomes. You will also use data and systems to plan and book appointments by blood group, respond to last-minute changes, and support the team with a high-quality admin service. This part-time role involves 6 shifts per fortnight, with each shift approximately 9.375 hours. Shifts are scheduled between 8:00am – 9:00pm, including regular weekend working.
Main duties of the job
- Help patients receive the right donation by booking and managing donor appointments in line with daily demand and blood group targets.
- Give donors a caring, professional welcome in person, by phone and by email, making it easy for them to attend and return.
- Use your influencing skills to encourage attendance, including when we need donors at short notice.
- Handle sensitive conversations with clarity and respect, including explaining when we do or do not need a donor to donate.
- Keep donor records accurate and easy to retrieve, protecting confidentiality and supporting safe, high-quality service.
- Be an expert user of our systems and Microsoft Office, entering and checking data to national standards.
- Review attendance, feedback and performance data, then take action to improve the donor experience and appointment fill rates.
- Support learning and progress in the team by helping colleagues build confidence in key systems and ways of working.
About You
Essential Skills & Experience
- Build and maintain excellent customer relationships.
- Communicate clearly and confidently, with the ability to influence and persuade to achieve the right outcome.
- Work confidently with confidential information and follow data protection requirements.
- Use IT systems accurately, including Microsoft Office and other software, while staying organised in a fast-paced environment.
- Keep detailed paper and electronic records so others can quickly find the information they need.
Essential Qualifications
- Educated to NVQ Level 3 in Customer Service, or equivalent experience.
